Everything in one place, working properly
When a small organisation grows, the systems that got it started stop coping. Enquiries in three inboxes, jobs tracked in WhatsApp, the real numbers in someone’s notebook. I help charities and small businesses put simple, reliable systems in place so nothing gets missed and nobody has to remember everything.
Based in Hebden Bridge, working with organisations across the UK.
Enquiries and contacts
One place where every enquiry lands and every contact lives, so follow-ups don’t slip.
Jobs, bookings and cases
A clear record of what’s on, who’s doing it, and what’s done, visible to everyone who needs it.
Documents and files
A folder structure that makes sense, shared properly, with the right people able to see the right things.
Forms and data collection
Sign-ups, feedback, checks and applications collected consistently and landing where they’re useful.
Volunteers and team
Rotas, contact details, training records and onboarding handled in one system rather than a dozen messages.
Reporting
The numbers trustees, funders or clients ask for, available without a day of copying and pasting.
Start with what you have
This isn’t about throwing everything out. We start with what you already use and what’s actually going wrong, then fix that first. Often the right answer is tools you already pay for, set up properly and connected, rather than a new product. When something genuinely new is needed, I’ll recommend the simplest option that will still work when you’re twice the size.
Signs it’s time
Things get missed and nobody’s sure why. The same information is typed in twice. Only one person knows how something works. A new starter takes weeks to find their feet. You dread a funder or client asking for figures.
If two or more of these sound familiar, the systems have fallen behind the organisation, and that’s fixable.
How it works
A free initial conversation. What you do, how it’s tracked now, and where it hurts.
A short review. What to keep, what to fix, what to replace, and in what order.
Setup. Tools configured, information moved across, and the pieces connected.
Handover. Your team shown how it works, with simple written steps for later.
Common questions
The things people usually ask before getting organised.
Do we have to change everything at once?
No. Work is done in stages, starting with whatever is causing the most pain. Each stage should make things easier before the next begins.
We’re not technical. Will we cope?
Yes. The point is systems your team will actually use. If something needs a manual to operate, it’s the wrong system.
Will it cost us more each month?
Sometimes a new tool has a subscription, and I’ll always say so before it’s chosen. Often the result is fewer tools, not more.
Can this work with Microsoft 365 or Google Workspace?
Yes. Most setups are built on whichever of those you already use, with other tools added only where they earn their place.
